Compensation: $55,000 – $68,000 base, commensurate with experience, plus benefits, eligible for performance-based bonus tied to department milestones and firm goals

Position Summary
The Operations Coordinator is the organizational foundation that keeps Summit running behind the scenes. This role owns the firm’s administrative infrastructure—from asset tracking and vendor management to intranet maintenance and onboarding logistics. As the firm grows, this position ensures that internal systems stay current, new team members feel set up for success from day one, and the operations team has the support it needs to execute.
Detail-oriented, proactive, and reliable, this person makes the complex feel simple. This role is also built to grow with the firm: strong performers will have opportunities to take on expanded scope as Summit scales, with potential pathways into specialized operations, HR, or office management work over time.
Core Responsibilities
Administrative Infrastructure
- Coordinate equipment ordering, provisioning, and asset tracking for all firm locations.
- Maintain accurate firm asset inventory including laptops, monitors, software licenses, and peripherals.
- Route vendor invoices for approval and coordinate payment processing.
- Track vendor contracts, subscriptions, and renewal timelines; maintain centralized renewal calendar.
- Coordinate operational purchasing and supply management across the firm.
Intranet Ownership (The Grove)
- Maintain and organize The Grove as the firm’s central internal resource hub.
- Ensure vendor, custodian, and service provider contact information is accurate and current.
- Post internal announcements, operational updates, and relevant firm communications.
- Maintain navigation structure, archive outdated content, and ensure resources are clearly categorized.
- Own the internal directory of roles and responsibilities, keeping it current as the firm evolves.
Onboarding & Offboarding Logistics
- Coordinate all logistical components of new hire onboarding—equipment setup, access requests, workspace coordination, and welcome materials.
- Maintain onboarding checklist tracking and ensure timely completion of all logistical steps.
- Prepare internal announcements for new team members.
- Manage offboarding logistics including equipment retrieval, access shutdown coordination, and exit documentation routing.
HR & Operations Scheduling Support
- Coordinate scheduling for internal HR meetings, performance reviews, onboarding sessions, and operational initiatives in partnership with the People Relations Coordinator.
- Support calendar management for recurring HR and operations processes.
- Track completion of required internal acknowledgments, training completions, and policy signoffs.
- Assist in organizing internal operations and leadership meetings—logistics and materials preparation.
Operational Tracking & Administrative Controls
- Maintain asset inventory log and software seat allocations.
- Monitor renewal deadlines and escalate appropriately to the Operations Manager.
- Maintain internal administrative tracking dashboards as directed.
- Support preparation of materials for operations or leadership meetings.
Qualifications
- Bachelor’s degree or 2–4 years of relevant experience in an administrative, operations, or office management role.
- Experience in financial services, professional services, or another regulated industry.
- A track record of juggling multiple workstreams and competing deadlines with organized tracking systems—spreadsheets, dashboards, checklists, calendars—that get followed.
- Experience coordinating vendor relationships, contract renewals, or subscription management.
- Experience with people operations or office management at a growing firm, including new hire onboarding logistics (equipment, access, workspace, announcements).
- Day-to-day fluency with Microsoft 365 (Outlook, Excel, Word, Teams, SharePoint) and quick to learn new platforms.
- Excellent written communication—you’ll be posting to the intranet, drafting announcements, and routing information firm-wide.
- Discretion, professionalism, and ownership, you handle sensitive information with care and flag issues before they become problems.
