Location: Colorado Springs, CO (corporate HQ preferred); remote considered for right candidate; may also be housed at any Summit location

Employment Type: Full-time, exempt

Compensation: $85K - $105K base, Compensation is benchmarked to role scope and experience; we may consider higher compensation for candidates who can hit the ground running with RIA-specific platforms and system integrations., plus benefits and eligible for performance-based bonus tied to department milestones and firm goals

Position Summary

The Platform & Custodian Coordinator keeps Summit’s operational engine humming. This role is the firm’s go-to for custodial platform support and core technology administration—ensuring systems are running, access is accurate, workflows are documented, and issues get resolved without advisors missing a beat. This is a hands-on execution role with real ownership, not a support ticket queue. The right person takes pride in clean systems, sweats the details, and understands that in a regulated environment, precision matters.

Core Responsibilities

Custodian Support & Coordination

  • Serve as the primary internal point of contact for custodial platform support and issue resolution across SEI, Fidelity, and other custodian relationships.
  • Coordinate account opening workflows.
  • Manage custodial user access, permissions, and system updates across all custodian relationships.
  • Track and escalate service tickets; ensure timely resolution and clear communication back to advisors.
  • Support onboarding of new advisors and acquired firm staff from a custodial platform standpoint.
  • Maintain current documentation of custodial processes and escalation procedures.

Platform Administration

  • Serve as Summit’s primary Orion administrator and internal subject matter expert—owning day-to-day configuration, reporting and templates, user roles, and vendor liaison.
  • Own Orion data integrity and integration health, reconciliation, data quality, and clean data flow between Orion and connected systems.
  • Administer and maintain core firm platforms including CRM, risk analytics, tax planning, and client visualization tools.
  • Manage user access and permissions across all platforms, ensuring accuracy and appropriate role-based access.
  • Coordinate system updates, vendor communications, and platform troubleshooting.
  • Assist with system configuration updates as directed by the Operations Manager.
  • Track platform-related issues from identification through resolution.
  • Maintain workflow documentation tied to platform processes and update as systems evolve.

Process Documentation & Improvement

  • Document and maintain SOPs for all custodial and platform-related workflows.
  • Identify operational inefficiencies and recommend practical, scalable improvements.
  • Ensure documented processes are consistently followed across teams and branches.

Training & Platform Enablement

  • Deliver platform and systems training to new hires, existing staff, and incoming advisors during onboarding and firm integrations.
  • Develop and maintain training materials, quick reference guides, and how-to documentation for core platforms.
  • Serve as the internal subject matter expert on all firm platforms—the go-to resource when staff have questions or need guidance.
  • Stay current on platform updates, new features, and custodian releases through ongoing training and vendor resources.
  • Maintain relevant platform certifications and pursue continuing education as systems evolve.

Compliance & Recordkeeping Support

  • Maintain user access logs and platform documentation in accordance with regulatory requirements.
  • Support compliance requirements related to custodial and platform record retention.
  • Assist in gathering documentation for audits, regulatory reviews, and due diligence requests.

Qualifications

  • Bachelor’s degree or 3–5 years of operations experience at an RIA, broker-dealer, or wealth management firm.
  • Hands-on Orion experience is required—specifically in account/household setup, performance reporting, data reconciliation, and managing integrations with custodians and other platforms.
  • Demonstrated ability to troubleshoot integration and data-flow issues across multiple connected systems.
  • Hands-on experience with at least one major custodian (SEI, Fidelity, Schwab, or Pershing).
  • Experience administering a wealth-management CRM—Redtail strongly preferred.
  • Strong documentation skills and demonstrated ability to build and maintain SOPs.
  • High attention to detail and comfort operating in a regulated, compliance-driven environment.
  • Excellent written and verbal communication skills; able to translate technical platform issues for non-technical advisors.
  • Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams).
  • Prior experience supporting advisor transitions, custodial conversions, or M&A integrations.
